Overview

The Executive Assistant position at Cook Research Inc. is responsible for the day-to-day support of executive management, for assisting with executive projects, and for supporting the calibration program as directed by executive management, in a fast-paced environment.

Responsibilities

• Maintain integrity and confidentiality of highly-sensitive information

• Maintain a positive demeanor and communicate in appropriate settings as to convey the image and voice of executive management

• Support executive management with the daily coordination of an intense schedule and workload (e.g., coordinate calendar and task list, manage files of notes and associated information, complete timesheets, complete expense reports, and assist with managing email and phone communications with high-level customers, physicians and colleagues)

• Assist with managing and implementing multiple projects and responsibilities while working with appropriate team members and/or management to ensure objectives and milestones are achieved

• Extensive coordination of meetings, travel (often international), and company events, including luncheons, dinners, outings, etc.

• Support the calibration program as needed (e.g., help with coordinating and documenting the calibration and maintenance of instruments and equipment)

• Provide occasional coverage for the front desk receptionist as needed

Qualifications

• High school diploma required; Bachelor degree preferred

• Minimum of two years administrative support experience required

• Must have exceptional skills with verbal and written communication, as well organization and prioritization

• Ability to tackle multiple projects, priorities and requests in an extremely fast-paced, deadline-driven environment

• Exhibit a high level of integrity and interpersonal skills to handle sensitive and confidential information

• Possess a customer service mentality with the ability to accept and fulfill requests with a positive attitude

• Proficiency in Word, Excel, PowerPoint, and Adobe Acrobat
